The Student Lifecycle: Completing, Archiving, and Continuing as a Leyner | MitzvahManager
A student automatically becomes completed when their B'nai Mitzvah date passes, but their preparation record is not simply discarded. Administrators use the Completed tab to wrap up the student, creating a lasting alumni summary for staff and the family while cleaning up the program data that no longer belongs in an active roster. If the student wants to keep reading, they can continue as an iLeyn external leyner and receive future reading opportunities without remaining an active MitzvahManager student.
A student becomes completed as soon as their B'nai Mitzvah date has passed. There is no separate status for staff to set and no grace period to manage: the date that marks the end of preparation also moves the student out of the current roster. Completed students appear in their own tab so administrators can see who needs a final decision, while tutors and staff can still review the records for the students they worked with.
The Completed tab is a short, intentional handoff rather than a forgotten list. An administrator opens it after a student's ceremony and chooses Wrap Up, confirming that the preparation program is finished. The wrap-up flow preserves the important story of the student's time in the program while removing the active work around it, so assignments, appointments, messages, and access that only made sense during preparation do not continue after the event.
Wrapping up creates an alumni summary: a durable record of the student's identity, ceremony, tutors, preparation history, and the notes staff want to keep. Staff can return to that summary when they need institutional history, and the family keeps a commemorative view of the student's accomplishment. The archived record is intentionally read-only, which keeps the past tab a trustworthy picture of a completed program instead of another active workspace.
Completion does not have to end a student's connection to your congregation. During wrap-up, an administrator can keep the student as an iLeyn external leyner, preserving the person while ending the MitzvahManager student role. They can then receive reading opportunities through iLeyn without taking up an active student seat or carrying the preparation data that belonged to their B'nai Mitzvah program.
The Past tab is the alumni archive. It is where staff find completed, wrapped-up students and open their summaries, rather than where unfinished preparation quietly accumulates. Keeping current students, students awaiting wrap-up, and alumni in distinct places makes it clear who needs action now, who has just completed their milestone, and whose record is preserved for the long term.
