How Students Move Through MitzvahManager: Add, Enroll and Invite
From the day you add a student to the day you wrap up, here are the five phases they move through and what you do in each.
You add them, enroll them when you start working with them, invite their family, guide them to their ceremony, and wrap up when they’re done. Each step below shows the tag the student carries on your Students page.
Your plan includes a number of seats. Each student you’re actively working with uses one, from the day you enroll them until you wrap them up. Students you’re still planning for, and students who have paused, withdrawn or completed, don’t use a seat.
Import a spreadsheet or add them one at a time. Then plan ahead: their Programs (what they’re preparing for, like their B’nai Mitzvah), their ceremony date and the staff who’ll work with them.

Nothing reaches their family until you invite them
Remove Student
Added someone by mistake? Before you enroll them, Remove Student deletes them and everything added for them. Nothing was sent to their family. Once a student is enrolled, use Mark as Withdrawn instead, which keeps their records.
When you’re ready to start working with them, select them and choose Enroll. You can then schedule lessons and give assignments.

Their family’s access waits until they’re enrolled
Choose Invite the Family, any time after you add them. The guardian you pick checks the student’s details, chooses how the student signs in and gives consent. Once the student is enrolled and each Program’s setup steps are done, each guardian you picked gets an email to create their account, or to sign in if they already have one. They can then see the student’s lessons, appointments and assignments, and message their tutor.
One email sets up access and gives consent
Accounts open on their own once everything’s ready
Their preparation, in religious school or toward their B’nai Mitzvah: lessons, practice, milestones (the goals you set along the way) and the ceremony.
You and their family can message each other
Pause Student
For a break, like a semester away or while a family decides. Pausing frees their seat and holds new lessons and assignments. Their records and progress stay, and their family can still sign in. Reactivate Student picks up where they left off and uses a seat again.
Mark as Withdrawn
When a student leaves before finishing, for example after moving away. Withdrawing frees their seat and keeps their records, and their family is no longer contacted. If they come back, Reactivate Student brings them back and uses a seat again.
After the ceremony, choose Wrap Up to close their preparation. They move to your past students, and every record is kept. If your congregation uses iLeyn, you can keep them on as a leyner, someone you can ask to read at your services.

Every student you add starts as Not enrolled, with a blue tag on the Students page and on their own page. The Students page lists them with your Active and Paused students. To see only them, open Filters and leave only Not enrolled under Standing. While a student is Not enrolled, you can choose their Programs (what they're preparing for, like their B'nai Mitzvah), plan their ceremony date and assign the staff who'll work with them. They don't use a seat, and nothing reaches their family until you invite them. If you added a student by mistake, an administrator can choose Remove Student in the ⋯ menu on their page: it deletes them and everything added for them, and can't be undone.
An administrator enrolls students when they're ready to start. On the Students page, select them and choose Enroll. On a student's page, choose Enroll Student. A cohort's page enrolls its students the same way. Each enrolled student uses one of the seats your plan includes, until you pause, withdraw or wrap them up. Enroll enrolls everyone you chose, or nobody: when there aren't enough open seats, it says how many are open, and you choose fewer students or add seats.
An administrator or the student's Tutor chooses Invite the Family on the student's page, any time after the student is added. You pick one guardian to answer, and which guardians get a MitzvahManager account. The guardian who answers gets one email: they check the student's name and gender, choose whether the student gets their own sign-in or practices through the guardian's account, and give consent. On the Students page, Send Consent Forms sends it for the students you select. The family's access opens on its own once consent is given, the student is enrolled and each of their Programs is set up, whichever comes last. Each guardian you picked gets an email to create their account, or to sign in if they already have one. They can then see the student's lessons, appointments and assignments, and message their tutor. Until then, the setup bar on the student's Overview shows what access is waiting for, and the main button on their page is the next thing to do.
A Program is what a student is preparing for, such as their B'nai Mitzvah. Each has setup steps on the student's Preparation tab: for a B'nai Mitzvah, creating the Service they'll read at and assigning their reading; for any Program, linking its required milestones. When those are done, the Program is set up. Enrolling doesn't do them: the family's access waits for each Program's setup, as well as for a guardian's consent.
No. A student uses a seat once you enroll them. Students who are Not enrolled, Paused, Withdrawn or Completed use none.
Once a guardian has given consent, the student is enrolled and each of their Programs is set up, whichever comes last. You can invite the family before you enroll, and their access waits for the rest.
No. To free their seat for a break, choose Pause Student in the ⋯ menu on their page; Reactivate Student brings them back. If they've left, choose Mark as Withdrawn, which keeps their records.
