MitzvahManager Plans and Billing Explained for Synagogues
MitzvahManager is priced by the number of Active students your organization is preparing, not by staff seats or features. Paused, Completed, and Withdrawn students retain their records without occupying a seat. A ceremony date never changes seat use automatically. Administrators choose the number of student seats, and changes to the plan are prorated or scheduled in a predictable way. TropeTrainer licenses, which power chanting audio, are purchased separately.
Your plan size is simply how many Active students you can support at once. Administrators control student Status directly, and each Active student occupies one purchased seat. This keeps pricing tied to the work actually in front of you — a congregation preparing eight students pays for eight, regardless of how many staff, tutors, or guardians touch those records.
Pausing, completing, or withdrawing a student releases their occupied seat while preserving their record, relationships, Programs, Services, preparation work, Profile Fields, and History. Reactivating a student claims an available seat. A ceremony occurring may make a student ready for Wrap Up, but does not change Status or billing by itself.
You can add seats at any time when you need room for more active students; upgrades apply immediately so you can add the student right away, and are billed as a prorated amount for the remainder of your current term. You can also reduce seats at any time. The smaller capacity applies immediately and unused time becomes a prorated credit on your billing balance. The minimum is your current number of active students, which prevents accidentally reducing capacity below your real roster.
You can cancel at any time, and your organization keeps access through the end of the paid term rather than losing it immediately. Only administrators can view and change the plan, and billing actions are handled by the organization's billing contact, which keeps money decisions with your most trusted staff. You can also build out service templates and programs and set up much of your organization before committing to a plan, so you can evaluate MitzvahManager with your real ceremony structures in place.
The MitzvahManager plan covers running your program — students, appointments, assignments, templates, messaging, and progress tracking. Chanting audio comes from TropeTrainer, which is licensed on its own: an organization can hold a pool of TropeTrainer licenses to grant to students, or a guardian can buy an individual subscription for their child. Keeping the two separate means you only pay for chanting access for the students who need it, independent of your active-student count.
