MitzvahManager Plans and Billing Explained for Synagogues
MitzvahManager is priced by the number of active students your organization is preparing, not by staff seats or features. A student counts as active until their B'nai Mitzvah date passes, at which point they automatically stop counting toward your limit. Administrators choose the number of student seats, and changes to the plan are prorated or scheduled in a predictable way. TropeTrainer licenses, which power chanting audio, are purchased separately.
Your plan size is simply how many active students you support at once. A student is active if their B'nai Mitzvah service has not been created yet, or if it has been created and the service date is still in the future. This keeps pricing tied to the work actually in front of you — a congregation preparing eight students this year pays for eight, regardless of how many staff, tutors, or guardians touch those records.
Once a student's B'nai Mitzvah date has passed, they automatically stop counting toward your active-student limit, and their record moves to the past-students tab rather than being deleted. You do not have to manually remove graduates to make room — as one cohort celebrates, the seats they held free up for the next, so a program's plan naturally tracks its real active roster over the year.
You can add seats at any time when you need room for more active students; upgrades apply immediately so you can add the student right away, and are billed as a prorated amount for the remainder of your current term. You can also reduce seats at any time, and the downgrade takes effect at the end of your current subscription term, so you keep the capacity you have already paid for. A small minimum-student floor applies based on how many active students you already have, which prevents accidentally under-provisioning below your real roster.
You can cancel at any time, and your organization keeps access through the end of the paid term rather than losing it immediately. Only administrators can view and change the plan, and billing actions are handled by the organization's billing contact, which keeps money decisions with your most trusted staff. You can also build out service templates and programs and set up much of your organization before committing to a plan, so you can evaluate MitzvahManager with your real ceremony structures in place.
The MitzvahManager plan covers running your program — students, appointments, assignments, templates, messaging, and progress tracking. Chanting audio comes from TropeTrainer, which is licensed on its own: an organization can hold a pool of TropeTrainer licenses to grant to students, or a guardian can buy an individual subscription for their child. Keeping the two separate means you only pay for chanting access for the students who need it, independent of your active-student count.
